Operations & Marketing Assistant

System Search, Inc. is seeking an Operations & Marketing Assistant for a position in Charlotte, NC. The mission of this role is to assist in the day-to-day operations of the agency through the performance of administrative tasks that benefit the efficiency and effectiveness efforts of the agency in whole.

Position Summary:


    • Manages Vendor Relationships including reviewing vendor success with staff to recommend and execute necessary changes
    • Maintains up-to-date contact lists in Share Drive folders, Quarterly CL/PL Pdf guide, and Applied/EPIC
    • Serves as Agency Admin for all carrier / broker relationships, adding / removing staff access, pulling production reports mid-year, 3rd, and 4th quarters
    • Ensures all producer, agency, and carrier / broker licensing is maintained for agency
    • Provides annual E&O certificates to carriers / brokers
    • HR – maintains timecards, assists with new hire set-ups, retirements, and terminations (system access)
    • Daily Reports – Claims, Download, Transactions, and Checks Received
    • Weekly Reports – In Process & Submitted Items
    • Monthly Reports – 120-day expiration lists to producers, late / missed renewals, retention by Account Manager
    • Quarterly Reports – New Business production by producer, carrier / broker results
    • Annual Reports – year-end summary of carrier / broker and producer new business
    • Executes the marketing strategy roadmap
    • Creates monthly reports based on the strategy roadmap that show us what we are doing, what’s working, and what needs attention
    • Communicates monthly to the entire team the marketing plan
    • Builds LInkedIn social media channel and work to obtain online reviews
    • Creates client nurturing strategies that include Welcome Kits, Claims Nurturing, Quarterly Touch Points to Clients, and Lost Customer Winback
    • Identifies a renewal campaign to proactively connect with clients around renewal
    • Identifies campaigns for active leads including active lead nurturing, unsold winback, and cross-selling campaigns
    • Helps producers identify and create new prospective clients

    Qualifications & Experience:


      • Applied/EPIC and Zywave Software experience preferred
      • Organized planning abilities
      • Quick learner with demonstrated ability to quickly and proficiently understand and absorb new information
      • Acts without being told what to do and brings new ideas to company
      • Adjusts quickly to changing priorities and conditions while coping effectively with complexity and change
      • Exhibits a passion and excitement over work with a can-do attitude
      • Possess a strong willingness to work hard and sometimes long hours to get job done
      • Speaks and writes clearly and articulately without being overly verbose or talkative
      • Reaches out to peers and cooperates with supervisors to establish an overall collaborative working relationship
